We are looking for a motivated Import-Export Coordinator to join our team. In this role, you will be responsible for managing the logistics and regulatory processes involved in the international transportation of horses. Your main duties will include coordinating shipping arrangements, ensuring compliance with import-export regulations, preparing necessary documentation, and liaising with clients, freight forwarders, and government agencies.

Requirements

Responsibilities:

  • Assist the Sales Manager in preparing accurate and competitive quotes for clients.
  • Prepare and submit import permits in compliance with regulatory requirements.
  • Schedule and coordinate necessary veterinary appointments for traveling horses.
  • Provide continuous updates to clients regarding the condition of their horses during transit.
  • Collaborate with international partners to ensure adherence to all relevant regulations.
  • Communicate with clients concerning all aspects of their horse's journey, including documentation and paperwork requirements.
  • Oversee customs clearance processes in conjunction with a licensed broker.
  • Liaise with the USDA regarding permits, health documentation, and any other pertinent regulations.
  • Coordinate courier services as needed for timely deliveries.
  • Organize CEM quarantine and related transportation logistics.
  • Prepare health documentation and arrange trucking.
  • Follow up on accounts receivable to ensure timely payments.
  • Manage the company's social media presence, creating and uploading posts as required.
  • Maintain a flexible work schedule, including availability during weekends and evenings, if necessary, to accommodate scheduled flight arrivals and departures.

**Qualifications: **

  • Previous experience in the horse transport industry.
  • Proven experience in the care and safety of high-value horses is required.
  • Familiarity with air travel regulations for horses is highly advantageous.
  • Knowledge of international shipping regulations and equine transport protocols is a plus.
  • Exceptional organizational and communication skills are required.
  • Ability to work efficiently under pressure while managing multiple tasks simultaneously.
  • Experience with QuickBooks Online is an asset.
  • Clean criminal record due to potential international travel.
  • Possession of a valid driver's license is necessary.
